We may collect certain personal data/information about you and any other person(s) include on your booking. The type of personal data we collect is information that you provide to us, such as but not limited to, your full name, passport number(s), issue and expiry date of passport(s), date of birth, place of birth, telephone number(s), postal & e-mail address, emergency contact name & number(s), medical conditions or special requirements.

Personal data you provide us

When make a booking, purchase or enquiry with us we may ask you for your full name, passport number(s), issue and expiry date of passport(s), date of birth, place of birth, telephone number(s), postal & e-mail address, emergency contact name & number(s), medical conditions or special requirements and personal travel preferences. We need to collect such information in order to arrange the travel and other services you are requesting.

Once you have confirmed and would like to make a booking, depending on the arrangements you ask us to make for you, we will ask if you have any special requirements. You may give us information concerning medical/health conditions, disabilities, sexual orientation, dietary requirements, race or religious believes. This information is referred to as special categories/requirements of personal data and when you give us such information, we’ll use it to try and meet your particular needs in relation to your booking. We may have to share that data with our third party suppliers. If you do not want to provide this information to us, or after you have provided us with this information you ask us to stop processing this information, it may mean we won’t be able to provide all or parts of the services you have requested.

If you contact us online, we may keep a record of your e-mail or other correspondence, and if you call us by telephone, we may monitor and/or record phone conversations for training and customer service reasons.

Where and how your personal data/information is stored and who we share it with & our approach to data security:

Your personal data is stored on a combination of our own systems and the systems of the third party suppliers we use to provide our services to you.

When you provide your personal data/information to us, some of that personal data you provide will need to be given to and processed and stored by relevant third parties. These third parties include our travel partners, such as embassies of the county you wish to travel too (for visa purposes), airlines and airports, hoteliers and ground handling agents (depending on the travel services you book), so that they can provide you with the arrangements and assistance you have booked or require.

Some of the third parties we use may be based outside of the European Economic Area (EEA). These organisations that are based outside of the EEA may not be subject to the same level of data protection as we are within the UK and the EEA. We will only transfer your data to third parties outside of the EEA where the transfer is necessary to enable your travel contract to be performed. In order for you to travel overseas, we may be required to disclose/provide certain parts of your personal data to government bodies or other authorities in the UK and in other countries you may travel too, such as those responsible for immigration, border control, law enforcement, security and anti-terrorism.

Data security is very important, the transmission of personal data/information via the internet is not entirely secure, and although we will do our upmost to protect your personal data/information, we cannot guarantee its security. Therefore, any information you provide us via the internet is at your own risk. Once we have received your personal data/information, we will take all reasonable steps to keep your personal data/information secure and do our upmost to avoid any unauthorised access, use or loss of your personal data/information, by appropriate security measures and limited access to those who have a business need to know only.   • The Administration of your internally booking and communicating your booking with our external suppliers, to ensure that requested services are arranged.
  • Communicating with you regarding your booking/purchase, including sending booking confirmation, T&C’s and travel documents.

Please note We may use and or process your personal data/information as set out below where it is essential for us to carry out activities, which is in our legitimate business interest, it is in your best interests and we have your consent to do so or where there is a legal requirement for us to do so:

  • To improve customer experience.
  • To notify/update you about changes to our services.
  • To investigate and or respond to, settle and or defend customer complaints and claims:
    • We may use and process your personal data/information and may pass it to third parties involved in providing travel services to you, in the effort of resolving complaints and dealing with disputes or legal proceedings.
  • To promote our business and improve our services:
    • We may send you marketing correspondence about upcoming products and services similar to those you have previously bought from us. You can opt out and object to our sending you marketing information at any time. We understand you may no longer want to hear from us and not want us to process your personal data/information for marketing purposes and that’s ok.  You have the right at any time to ask us to stop all correspondence in regard to marketing. You can exercise your right to prevent such processing by sending us a letter at the below address informing us of your choice to opt out of our marketing.

  • To assist you and or organise assistance to be provided to you by third parties either in the event of an incident/emergency or where you have a special requirement.

Your rights in relation to personal data/information we hold about you:

You have several rights in relation to your personal data/information under data protection law. You have the right to make a data/information access request in any circumstance. This formal a request for access to personal data/information that we hold about you. If we agree we will provide personal data/information to you or someone else on your behalf, we’ll provide it to you or them free of any administration charges.

We may ask for proof of identity and information about your prior interactions with us so that we can locate your personal data/information more accurately. That may include but not limited to information about your previous booking(s) or other purchases. If someone is acting on your behalf, then they must provide us written and signed confirmation (along with proof of signature) from you that you have given your full authority to that person/company for making such a request. This must be provided to us before we give them a copy of any of your personal data/information we may be holding. We may not provide you (or someone acting on your behalf) with a copy of your personal data/information if it includes the personal data/information of other individuals or we have other lawful reasons to withhold that information.

The accuracy of the personal data/information we hold about you is important to us, if you change your name, address/e-mail address, or you notice that any of the other information we hold about you is inaccurate or outdated then please let us know as soon as possible by contacting us.

If we have to cancel or amend your booking or other purchase as a result, you may incur a cancellation or additional charges. Removing your personal data/information or limiting its processing:

Due to certain circumstances, you may ask for your personal data/information to be removed from our systems completely. On condition that we do not have any lawful reasons to continue processing or holding your personal information, we will make reasonable efforts to fulfil with your request.

You may ask us to limit our processing of your personal data/information where you believe it is unlawful for us to do so. We may only process your personal data/information whilst its processing is limited if we have your consent or are legally permitted to do so (for example – storage purposes, legal proceedings or to protect the rights of another individuals/companies).

Please note when you make a booking/purchase with us, your personal data/information will be retained to ensure that we provide you with the best possible customer service.  We will keep hold of your personal data/information on our records for as long as is necessary for us to use your personal data/information as set out in this Privacy Policy.  This is generally up to 7 years in relation to bookings/purchases, which is required for our legal and audit purposes by law.
